About client
The Annual Leave Eligibility Tool enabled Rockpool to remediate entitlements for 800+ employees, ensure compliance with Fair Work, and avoid costly financial penalties — replacing manual reviews with a scalable, automated solution.
Challenge
Shiftworkers may be entitled to an extra week of annual leave, bringing their total entitlement to five weeks per year instead of four.
However, eligibility depends on complex rules, awards, and agreements.
At Rockpool, this meant:
• Reviewing large volumes of timesheet and payrun data across multiple sites.
• Identifying employees meeting shiftwork criteria.
• Historical records were often inconsistent, and eligibility could change over time.
• Manual reviews were slow, error-prone, and risked non-compliance.

Solution
To address this challenge, Halo Labs developed a robust data model and pipeline to automate eligibility assessments:
• Ingested all payrun and timesheet data from Humanforce and payroll.
• Designed logic to determine whether an employee qualifies as a shiftworker.
• Built scalable ETL pipelines with Databricks and Delta Lake to ensure accuracy over time.
• Integrated outputs into a clear, auditable report.
Results
Remediation of 800+ employees
The model was used to reassess entitlements, identifying and correcting cases where employees qualified for five weeks of annual leave.
Compliance and Accuracy
Rockpool now has a transparent, data-driven system for determining entitlements, ensuring compliance with Fair Work and awards.
Efficiency
Manual reviews were replaced with automated calculations, freeing HR and payroll staff to focus on higher-value tasks.
Scalability
The solution is embedded into Rockpool’s broader medallion data architecture, ensuring ongoing alignment between timesheets, payruns, and entitlement calculations.
